What Is the Email Address of a School? Why Do We Need Duke Email Addresses?

Microsoft Office 365 is a cloud service provider primarily used for email and calendaring by Duke University. Duke faculty, staff, and students are automatically assigned Office 365 accounts. This gives them access to 100GB of mailboxes.

With the Duke email, students have access to mailboxes via web and client applications, a modern calendaring system, and unified email across the university and health system.

The Outlook Web Application is available at mail.duke.edu.

The preferred email address of Office 365 users, which is typically their email alias, is set as the default address. You can change your preferred email address to another one (such as netid@duke.edu) or modify your alias to reflect your preferences (for example, johnny.smith@duke.edu rather than jonathan.smith@duke.edu).

How Can I Get The Duke Email Address Of The School?

Each Duke student is assigned a NetID and a Duke email address. Your NetID is an alphanumeric code that grants you access to all computing resources at Duke.

After the graduate admissions office receives official transcripts, domestic students will receive email instructions on how to activate their NetIDs. The school will email international students’ NetID information once the graduate admissions office has received official transcripts and all necessary visa documentation.

How Do I Create An Alumni Email Address For Duke?

First, you must create a OneLink account. After registering with OneLink, go to this page and scroll down to the “Get it” box to enter your email address. Send an email to help@daa.duke.edu to get in touch with support.

Do Duke Students Keep Their Email Addresses After They Graduate?

If you do not return to Duke as an employee, a student in another program, or a guest account sponsor, your NetID will be deactivated one year after you graduate.

To access your @duke.edu email, you must have an active NetID (and a DHE account for DUHS students). Once your NetID or DHE is deactivated, you will no longer be able to access your @duke.edu email.

Email Address Forwarding cannot be configured on an inactive account.

Your student email address ends in @duke.edu, whereas your alumni email address ends in @alumni.duke.edu. Your @duke.edu account emails are not linked, transferred, or forwarded in any way.

The old Duke email address will not allow you to sign in to your OneLink account.

In Office 365 for iOS, create a @alumni.duke.edu account.

Set up Microsoft Outlook for iOS using your @alumni.duke.edu email address (link is external). The app can be found in the Apple Appstore on your device.

Microsoft Outlook for iOS will be launched. After entering your @alumni.duke.edu email address, click ADD ACCOUNT.

Select Office 365.

After entering your @alumni.duke.edu username, click Next.

You will be directed to the Social ID log-in page via a redirect screen.

The Duke Login page will then appear. Enter your OneLink ID and password or use a registered social media account to log in.

If everything goes as planned, your account will be added, and you will be prompted to add additional accounts. By clicking Maybe Later, you can access your alumni email.

If you receive an error message indicating that your credentials are incorrect, please try again. If the problem persists, contact the OIT Service Desk at (919) 684-2200 or help@duke.edu.

My Alumni Email Account Does Not Forward To My Primary Email Address

If you are not receiving Duke emails at your forwarding address, don’t hesitate to get in touch with help@daa.duke.edu. If you only occasionally receive mail at your forwarding address, please get in touch with the Duke OIT help desk at help@oit.duke.edu or 919-684-2200.

Please remember to test your lifetime email address with a different account than your forwarding email address. When some services (such as Gmail) detect that you are sending an email to yourself, they will stop delivering it.

How Do I Login To My Duke Student Email?

A DKU email account is available to every DKU student, faculty member, and employee.

Typically, your email address will be something like firstname.lastname@dku.edu.cn. DKU’s official email address will be used to contact you. You must check this email account regularly.

To access your DKU email, go to mail.duke.edu and select Office 365 as your mail system.

It is also possible to add your DKU email account to your PC/Mac, mobile device, or tablet.

You can use Outlook Web Access (OWA) or a mail client like Outlook for Windows or Mac on your computer or other devices.

How to Install Office 365 on Multiple Devices

Have you never used a device with an Office 365 account?

If you’ve never used an Office 365 account or app on your device, do the following:

  • Enter your Duke email address on the Add Account screen and click Add Account. The Duke Login screen appears.
  • After entering your NetID and password and authenticating with two-factor authentication, click Log In.
  • On the Add Another Account screen, select Maybe Later.
  • “Enable Notifications” appears as a message.
  • Select No Thanks or Turn On. The Inbox is clearly visible.

If you have used an Office 365 account (Mail/Calendar) on your device

These instructions assume you already use the Microsoft Outlook app for non-Duke accounts and have had an Office 365 account configured in Mail or Calendar.

  • In the Outlook app, a screen displaying your Duke email appears.
  • Choose Add Account.
  • On the Add Another Account screen, select Maybe Later.
  • “Enable Notifications” appears as a message.
  • Select No Thanks or Turn On. The Inbox is clearly visible.

To use the Duke Health app, users must enable the device administrator feature.

Set up Outlook for Mac in Office 365

Set up your Office 365 account in Microsoft Outlook for Mac by doing the following:

  • Start Microsoft Outlook, enter your NetID@duke.edu email address, and then press the Continue button.
  • A screen displaying the status of the Office 365 connection may appear briefly. You will be redirected to the Duke Login page.
  • Please enter your Duke NetID, multi-factor authentication credentials, and password.
  • A green check mark indicates that the email account has been added. Select “Done” and wait for Outlook to download your mail.

Installing Office 365 on iOS (iPhone, iPad)

Both Duke University and the Duke Health System use Office 365 as a shared service.

To access Office 365 from a mobile device, Duke Health users must first sign up for Mobile Device Manager (Airwatch).

To add your Office 365 account to your device’s native Mail and Calendar apps, follow the steps outlined below. Instead, we recommend downloading the Microsoft Outlook app from the App Store.

How to Create a new account

To create a new Office 365 account on your iOS device, follow these steps:

  • Select mail from the Settings menu.
  • In the Mail screen, click Accounts.
  • On the Accounts screen, click Add Account.
  • Choose Microsoft Exchange from the list of available accounts.
  • On the Exchange screen, enter your Duke email address. and choose Next. There is a message.
  • Click the Log In button. Microsoft shows a screen. If prompted, select Work or School Account. The Duke Login screen appears.

If you don’t see the Duke Log In page, the app may not support modern authentication and was unable to authenticate using Shibboleth. To resolve this, update your device’s operating system (if not already up to date).

Consider using the Microsoft Outlook app if the Duke Log In page still isn’t visible (link is external) (link is external).

Click Log In after entering your NetID and password and confirming your identity with a second factor.

On the following screen, select which apps to configure for Office 365. (Mail, Contacts, Calendars, Reminders, and Notes). Select Save. The account is now added.

365 Office: Configuring Mac OS X Mail

Office 365 is used as a shared service by both the university and the healthcare system. Customers from Duke Health and the University should both consult the service documentation.

Note: For email and calendaring, we recommend using the Outlook app or Outlook Web Access, both of which can be found at https://mail.duke.edu (link is external). If you prefer to use the Mac OS Calendar application, be aware that accepting and creating Office 365 invitations can be difficult.

Create a new account in Mac OS X Mail.

If you don’t have any Mail accounts set up, the Choose a Mail account provider screen appears. After selecting Exchange, click Continue.

If you already have a Mail account, go to the Mail menu and select Add Account. Select Exchange from the list of mail account providers and click Next.

In the Exchange window, enter your name and Duke email address and click Sign In.

The message Sign in to your Microsoft Exchange account? appears on the next screen Click Sign In. The Duke Login screen appears.

Click Log In after entering your NetID and password and completing the multi-factor authentication.

On the following screen, select the apps you want to use with the account.

These are Office 365-compatible:

  • Duke’s Office 365 Global Address List is now included in the Address Book application (GAL).
  • Calendars – Your Office 365 calendar is now included in the Calendar application.

As your Office 365 mail downloads, click “Done.” Your Inbox will open.

How Do I Disable Calendars and Contacts on a Mac?

To prevent your Exchange account from syncing with Mac Contacts or Calendars, take the following steps:

  • From the Apple icon, select System Preferences > Internet Accounts.
  • From the Internet Accounts window, select your Exchange account.
  • Click to disable the desired application (s).
  • Close the window.

How Can Duke Employees Use Email Mailbox?

To use the mailbox request form, you must have an active NetID and work for Duke University or Duke Health in an IT position.

All requests for a specific user must include the NetID of the user or users for whom an account is being requested. The NetID must already be active.

For Duke Health:

To request the mailbox, Analysts at Duke Health Device Support should submit a Support@Duke ticket to Account Management-DHTS.

Analysts at the Duke Health Service Desk: Before proceeding, ensure that the user has a Duke Fullname Email alias if the request is for a Duke Health user.

NOTE: If the user does not have a Duke Fullname Email Alias, the following error message will appear “Error: No fullname alias – New Mailbox Request tool”.

In your web browser, go to https://mailtools.oit.duke.edu/.

Once you select “User” as the mailbox type at the top of the form, the user form will appear.

Enter the NetID of the user whose mailbox you want to request, then from the list that appears, select the institution and mailsystem for the mailbox.

Analysts at Duke Health Device Support should submit a Support@Duke ticket to Account Management-DHTS to request the mailbox.

The institutions are the mail system, Office 365, Duke University, and Duke Health: Select this option if the user needs access to Office 365 resources.

Select this option if the user requires access to resources at Duke University or the DM Exchange.

If you want to request a mailbox for more than one user, each NetID must be entered on a separate line.

After clicking submit, it will direct you to a confirmation page. After an automated process has completed the requests, the school will send a confirmation email with the status of your requests to your netid@duke.edu email address.

Please check both your DukeMail and Exchange/Office365 mailboxes to ensure you received your confirmation email. If the request was successfully fulfilled, you are not required to take any further action.

Simple School Email Etiquette

Request a Third-Party Application Add-In for Teams and Outlook in Office 365.

Third-party Office 365 applications copy files or remove data from Duke’s secure environment. Furthermore, some third-party applications may send data without encryption. As a result, any application used in Duke’s Office 365 environment must be examined and approved in accordance with all security, licensing, and legal requirements.

In order to be accepted, apps must meet the following criteria:

  • Promote single sign-on
  • Data in transit must be encrypted (SSL or TLS)
  • Never remove content from Office 365 storage (passing through for display is acceptable, but copying or caching files on local devices is not permitted).
  • A service that is not sufficiently covered by other vetted Office 365 applications

Apps that require licensing fees or payment to a third-party vendor will be taken into consideration if the following conditions are met:

  • The requesting party will pay for the app.
  • There is no need for coordination or central payment for the app’s payment.
  • If you can make a good business case for the central payment
  • Be aware that we cannot enable Word, Excel, or PowerPoint add-ins or apps.
